While you may order booth furnishings from any vendor, be aware that you will incur a cost from the show contractor for storing and moving items from their warehouse to your booth or from the dock to your booth. When the show contractor is announced, we encourage you to use them as independent vendors may not advise you of the additional fees that can/will be incurred. Avoid surprises, use UIC- approved contractors.

The exhibitor service kit link is sent to the main contact on the exhibit space agreement one month before UIC. If you have not received it, please contact Karen@UndergroundInfrastructure.com. 

Exhibitor Appointed Contractors:

While we do not use/have an Exhibitor Appointed Contractor (EAC) form, you are welcome to use a contractor to build your exhibit. Please note the following regarding your own contractor:

  • At least 15 business days prior to move-in  a written statement from the exhibitor is required indicating the name and contact information of the EAC
  • It must include the intended use of the EAC (what is the scope of work to be performed)

 

 Exhibitor Appointed Contractors, Continued:

 

  • The EAC is required to provide a certificate of insurance evidencing that the EAC has in place the minimum insurance coverage as defined here:
    – evidence of workers’ compensation insurance in the minimum amount required by state law
    – evidence of commercial general liability, in a minimum amount of one million dollars ($1,000,000) covering all operations
    – evidence of automobile liability insurance and a minimum amount of one million dollars ($1,000,000) covering all owned, hired, and non-owned vehicles.
  • The policies for commercial general liability and automobile liability shall name Gulf Energy Information, DBA Underground Infrastructure Conference (UIC) 8 Greenway Plaza, Suite 1440, Houston, TX 77046, the convention center (contact Karen@UndergroundInfrastructure.com for exact name/address), and Grit Expositions,  1100 E. Dallas Rd., Grapevine, TX 77046, as additional insureds.
  • All finished work done by the EAC must be within the booth space assigned and may not extend into the neighboring booths or aisles.

Inline Booths:

  • 10×10 – $3,120
  • 10×20 – $6,090
  • 10×30 – $8,820

Island Booths (aisles on all sides, no back walls allowed)

  • 10×20 – $6,990
  • 10×30 – $9,810
  • 20×20 – $13,120
  • 20×30 – $19,055

Important Details Regarding Booths

All booths are sold in increments of 100 sq. ft. (10’x10′). Please note, with the exception of island booths, we do not create cross-aisle booths (booths with numbers from different aisles) as these booths block the sightline of the neighboring exhibitor. An example of cross-aisle booths are 716 and 817,  1014 and 1115, etc. 

Equipment/display items are to be arranged so they do not obstruct the line of sight of neighboring exhibitors. The exhibition industry standard for the display is to not exceed 8′ in height in the rear half of the booth and 5′ from the middle to the aisle. 

In-line booths (booths with neighbors to the left and/or right of the side dividers) may not have a hanging sign (sign rigged from the ceiling).

Islands booths (booths with aisles on all sides) may not have an exhibit back wall nor pipe and drape.
